Visitor Sign-In Procedures

  • ESD visitors include parents, guardians, grandparents, chaperones, retired staff members, community agencies and organizations, etc. Any individual who is not an active district employee, School Board Member, or local first responder (on-duty/official business) is considered a school visitor. All visitors must sign in at the main office upon entry to a school. 

    ESD has implemented the Raptor Visitor Management System to expedite, automate, and improve the visitor sign-in process. Schools will no longer utilize handwritten sign-in logs for visitors requesting access to the facility. The Raptor Visitor Management System will change the way visitors sign in and out when visiting any of our campuses. This process will help us keep better track of who is in our building at all times and ensure all visitors are screened against the National Sex Offender Registry. This is one layer of our protection in-depth efforts to ensure our students and staff are safe on a daily basis. Student and staff safety is our top priority. The Raptor Visitor Management System allows us to better control facility access to all district schools. 

    The Raptor Visitor Management System provides five key benefits to enhance our visitor sign-in procedures to improve school safety and security.

    1. Web-based Access: The Raptor Visitor Management System is accessible by approved individuals via web URL connection. This allows ESD to access visitor records and data in the event of an emergency to streamline the emergency response process. This information is critical if an SRP directive is implemented (Hold, Secure, Lockdown, Evacuate, and Shelter).
    2. Identification Data Capture: Data is read directly from a government-issued identification (driver's license and/or state ID) via the 2D barcode. For privacy purposes, only necessary data for screening will be scanned and a photocopy of the ID will not be kept or stored.
    3. Instant Screening: The Raptor System instantly checks the visitor's information against the National Sex Offender Registry and internal district records (custody information). 
    4. Immediate Alert Notifications: If a visitor matches a person on the National Sex Offender Registry or a custom district alert, the Raptor system immediately sends a notification via text and/or email to designated individuals (administration, district safety, law enforcement, etc.).
    5. Unique Visitor Badges: Once a visitor is screened, the Raptor system creates and prints a unique identification badge that includes the visitor's name, photo, time and date, the school they are visiting, and the authorized location they are going to inside the school.

    When arriving at an ESD school, press the video door station button and wait for an office staff member to greet you. Please inform the main office who you are and your reason for visiting the school. Upon entering any ESD school, ALL VISITORS (parents, guardians, grandparents, volunteers, retired staff members, community partners, etc.) will be asked to provide a valid form of government-issued identification. Please present your valid form of government identification to the main office staff who will then run it through the Raptor Visitor Management System. This process is quick, easy, user-friendly, and will not slow down the visitor sign-in process. The Raptor Visitor Management System is utilized to ensure the safety of every student and staff member in every ESD school.

    Once the valid form of government identification is scanned and cleared, the Raptor system will generate and print out a unique visitor badge that identifies who the visitor is, the purpose of the visit, the time and date, and the school they are visiting. The visitor badge must be worn on the most outer garment and clearly visible at all times while on school grounds.

    All visitors must sign out before departing the school grounds. This ensures we have an up-to-date registry of all active visitors inside of the school.
